-
Listing Launch and Administration
Seller intake and welcome documents; NexOne file setup and uploads; coordination of photography, staging, signs and lockboxes; agent-approved listing facts and ShowingTime feedback questions; authorized amendments, extensions, withdrawals and expiry updates.
You supply accurate documents, listing information and timely approvals. Vendor charges are extra. Pricing, negotiations and professional advice remain with you. Seller updates are a separate service; an existing platform fee is not duplicated.
Transaction Management Through Closing
Support from accepted offer through closing for buyer files or a continuation of listing administration. Includes NexOne documents, supplied condition dates and firming instructions, inspection and appraisal arrangements, commission documents, lawyer/lender/other-agent coordination, closing reminders, signs/lockboxes and archiving. Existing file work is retained.
Provide executed agreements and changes promptly, and confirm conditions, instructions and completion. Legal decisions, deadline compliance and negotiations remain with the agent and legal professionals. No handling of funds or brokerage payments. FINTRAC support is upload of completed documents only. Client milestone messages are separate.
Weekly Deal Tracking
One consolidated weekly view of active files: status, conditions, closings, outstanding documents, decisions and responsible owners.
If file administration is not selected, you provide current, complete file information. This is not lead tracking, sales scorecards, coaching or agent management. Individual file reminders belong to Transaction Management. The monthly progress summary reports Key Suite work; it is not a replacement for weekly deal tracking.
-
Seller Communication and Feedback
Collect and relay available showing feedback, follow up on missing feedback, and flag matters needing agent advice. Includes one monthly report for each supported active listing: general Kingston/property market context, listing activity and marketing updates. There is no separate report fee.
Reports identify sources, reporting period and unavailable information. You approve commentary, sensitive wording and recommendations; valuation and pricing remain your decisions. Feedback responses cannot be guaranteed. Initial seller welcome is part of Listing Launch; public social posts are separate. Sample reports in the booklet are fictional demonstrations.
Buyer and Seller Client Messages
Authorized buyer welcome and congratulations messages; seller accepted-offer congratulations and next steps; one-month post-closing check-in and review request. Agreed milestones and permissions determine the messages, and overlapping communications are combined.
Provide contact details, milestone updates and approvals, and handle replies requiring professional advice. Initial seller welcome is part of Listing Launch; active listing updates are Seller Communication. This service excludes database nurturing, lead conversion and unlimited conversations.
-
Branded Social Visibility
Two concepts each week: one market update and one agent/team feature or tip. Includes copy, template design, approval and scheduling for Facebook and Instagram for one brand/account set.
Supply approved assets and sources, and provide timely approvals. Branded templates are required—use an existing approved set or commission the Social Template Collection. Organic static content only; excludes paid ads, reels/video, comments and DMs. Listing and sold posts are a separate service.
Listing and Sold Social Visibility
Available independently of Branded Social Visibility. Includes one launch post for each supported listing, one authorized seller-side sold post, and one weekly repost for each active supported listing. The supported inventory is agreed separately from annual closed-side pricing.
Includes factual captions, template adaptation, approval and scheduling. Supply approved photos, property facts, permissions and status updates. Excludes advertising, photography/video, comments and DMs.
Monthly Newsletter
One edition per month for one brand and approved audience: planning, writing, formatting, links, testing, approval and distribution.
Provide authorized platform/list access, current information and final approval. Excludes purchased lists, CRM cleanup, separate editions and full campaign management. Platform charges are extra. Seller listing reports and client milestone messages are separate.
Quarterly Marketing Research
One marketing initiative researched per quarter, with rationale, written options, estimated external spending, next steps and a way to measure response. Scope and dates are agreed.
Provide audience, budget, history and restrictions. You approve execution and spending. Implementation, events, purchases, advertising and ongoing campaign management are excluded. Leads and ROI are not guaranteed.
-
Booklet Printing and Office Restocking
Agreed stock checks and coordination of reprints of approved buyer and seller booklets. You authorize quantities, proofs and budgets before ordering and office delivery.
Printing, shipping and supplier charges are extra. Creating new booklets is a Suite Addon service. Changes to existing materials can be separately scoped through Existing Materials Refresh.
Quarterly Operations Audit
One agreed operations review per quarter covering workflows, handoffs and responsibility gaps. Includes written improvements, owners and proposed actions; scope and review dates are agreed.
You provide records and process information and choose which recommendations to adopt. Excludes agent scorecards, sales coaching, financial auditing and compliance certification. Major migrations, new assets and implementation are separately scoped.
Budget and Forecast Support
One monthly review using your supplied records and assumptions: actual versus budget, forecasts and decisions needing attention.
Provide complete income and expense records, approved categories and commitments. Excludes bookkeeping, reconciliations, payroll, tax/investment advice and payments. Accounting and tax decisions belong with your accountant.

Working Together
All monthly selections include coordination meetings, preparation notes, service coordination and a monthly progress summary. Meeting frequency and duration are confirmed in the quote. Work is within weekday business hours, with exact hours and expectations confirmed at onboarding. Kingston office support or virtual support elsewhere is available.
Provide one decision-maker, authorized access and timely approvals. Compatible Gmail organization and eligible summary-feature setup can be included; compatibility is checked and subscriptions are yours. This excludes daily human inbox monitoring. Routine team-access handover is included, not full onboarding. Major migrations, new assets and training are separately scoped. No lead chasing or agent management.
Start with a 45-minute conversation. We confirm a written quote, service selection and responsibilities; review the Working Together booklet and agreement before onboarding; agree access, communication, priorities and a start date; and review/refine the service plan at scheduled check-ins. Changes are confirmed in writing.
Choose the work you want to hand over.
Tell me which parts of your business need support. We can arrange a 45-minute goals and services meeting, then confirm your scope, investment and responsibilities in a written service plan.
